Let’s be honest—juggling podcasting with motherhood and business is no small feat. Between school drop-offs, client calls, snack requests, and laundry piles that seem to multiply overnight… who really has time to spend hours managing their podcast?
If you’ve ever found yourself editing at 11 PM or uploading an episode the morning it’s supposed to go live, you’re not alone. You’re also not doing it wrong. You probably just need a better podcast workflow.
In this episode, I’m pulling back the curtain and sharing my favorite shortcuts for streamlining your podcast workflow—without sacrificing quality or your sanity.
These are the exact hacks and systems I use in my business (and help my clients implement) so that podcasting feels fun and sustainable—not like another job.

Why Your Podcast Workflow Matters
Podcasting can absolutely be simple but only when you’ve got a system that works for your real life. Without structure, it’s easy to feel like you’re constantly in content creation mode: planning, recording, editing, uploading, promoting… repeat.
That’s why I’m such a big fan of working smarter, not harder. You don’t need more hours in the day—you just need a podcast workflow that works for you.
A strong workflow helps you:
- Stay consistent (without scrambling)
- Reduce decision fatigue
- Save time and mental energy
- Actually enjoy the process again
Now, let’s talk shortcuts.
Shortcut #1: Batch Your Episodes Like a Boss
Batching is my secret weapon when it comes to podcast workflow. If you’re recording and editing one episode at a time each week, it’s time to rethink things.
Here’s how I batch:
- Week 1: Brainstorm and outline 4–6 episodes
- Week 2: Record all episodes in 1–2 sittings (childcare + caffeine = essential)
- Week 3: Edit, create show notes, prep graphics
- Week 4: Schedule everything—episodes, emails, blog posts, and social content
When you’re in the zone, everything moves faster. Batching helps turn podcasting from a weekly to-do into a monthly creative flow.
Shortcut #2: Use Templates for Everything
Stop reinventing the wheel. Seriously.
Having plug-and-play templates for each part of your podcast workflow saves a ton of time. Think:
- Episode outlines and intro/CTA scripts
- Show notes formats
- Promo graphic templates
- Guest onboarding emails
I keep a folder in Google Drive with reusable docs for each client—and myself. You can do the same and make copies for each episode as you go.
✨ Pro tip: Create a “Podcast Template Pack” folder and keep it easy to access when you’re working in short windows of time.
Shortcut #3: Pre-Schedule Every Piece
Once an episode is done, don’t leave it sitting there.
Pre-schedule your:
- Episode in your hosting platform
- Newsletter to your email list
- Blog post (if applicable)
- Promo content on social media
Spending just 15–20 minutes to get everything scheduled in one sitting will save you so much stress. Plus, it frees up mental space so you’re not scrambling when life throws curveballs (hello, surprise daycare closures!).
Shortcut #4: Outsource What You Hate
Here’s your permission slip—you do not have to do it all.
If editing is draining the joy out of your show, outsource it. Same goes for show notes, audiograms, graphics, or anything that feels heavy. Even outsourcing just one step in your podcast workflow can give you hours back every month.
Think of outsourcing as buying back your time and energy—not as a failure.
Shortcut #5: Use a Weekly Podcast Checklist
This might sound overly simple, but having a repeatable checklist is everything.
Use ClickUp, Airtable, Asana, Trello or a basic Google Doc. Whatever works for your brain. Every episode should follow the same workflow so you never miss a step.
Your checklist might include:
- Record
- Edit
- Upload
- Write show notes
- Schedule in host
- Create and schedule social content
- Email your list
Bonus: this makes it so much easier to delegate later when you’re ready to bring on support.
Shortcut #6: Record When You’re in the Zone
If inspiration hits or you’ve got a burst of energy, use it.
Don’t wait for the “perfect” time to record especially as a mom. That time may never come. Use those windows of aligned energy to knock out a couple episodes. Your future self will thank you when life inevitably gets busy (or someone gets sick).
Shortcut #7: Use Voice Notes + Transcription Tools
Your podcast workflow doesn’t have to start at your desk.
Record rough drafts as voice memos while driving, walking, or folding laundry. Then use tools like Otter.ai or Descript to transcribe and clean them up later.
Some of my best episodes were born during school pickup or while unloading the dishwasher—no shame in that game!
Shortcut #8: Let AI Lend a Hand
If writing titles, descriptions, or show notes feels like a drag, use AI to help.
ChatGPT (hi 👋) and other tools can help you summarize transcripts, draft blurbs, or brainstorm episode angles. Just make sure to add your own personality and tweaks before publishing.
AI can’t replace you, but it can support you.
A Peek at My Weekly Podcast Workflow (In Under 2 Hours!)
Here’s how my personal podcast workflow breaks down when I’m on my game:
- 15–30 mins: Outline or script using a saved template
- 30 mins: Record (often batching 2+ episodes)
- 15–30 mins: Edit in Descript
- 15 mins: Schedule in host, prep show notes with ChatGPT
- 10–15 mins: Batch promotion (email + social content)
And that’s with two kids, part-time hours, and a full client load. It can be done with the right systems in place.
Final Thoughts
If podcasting has started to feel overwhelming, it doesn’t mean you’re failing. It probably just means your podcast workflow needs a little love.
By implementing even one of these shortcuts this week, you’ll be moving toward a simpler, more sustainable way to stay consistent and show up with confidence.
